Rental Policy & Contract Terms

Rental Rates

Your rental includes the equipment listed on your invoice. Rental pricing is based on how long the items are rented. Rentals under 24 hours are charged a base rate. Rentals that exceed 24 hours are charged the base rate for the first day, plus an additional 25% of the base rate for each additional day. Once an order is placed and a deposit is received, pricing is final. Your responsibility for the rental equipment begins at delivery or pickup and ends once all items are returned and retrieved by our staff.

Reservations & Payments

All reservations are accepted on a first-come, first-served basis. A non-refundable deposit of 50% is required to reserve rental items and secure your event date. The remaining balance is due at delivery, and the credit card used to pay the deposit will be charged automatically unless other arrangements are made in advance. Cash payment is accepted at delivery, but drivers do not carry change. For customer pickup orders, the remaining balance is due when the order is prepared and placed in the pickup area. Tips are optional, appreciated, and shared evenly among the delivery and cleanup crew.

Cancellations

All deposits are non-refundable. If an event is canceled more than 30 days prior to the scheduled event date, the deposit may be applied as a credit toward a future rental or rescheduled event, subject to availability and current pricing. Cancellations made within 30 days of the event date are not eligible for refunds or credits. Any reduction, removal, or modification of rental items made within 30 days of the event remains subject to the full original invoice amount.

Weather & Uncontrollable Events

Weather conditions are outside of the Company’s control, and specific weather outcomes are not guaranteed. If severe or unsafe weather prevents delivery, setup, or safe use of rental equipment, Gold Party Rental reserves the right to cancel or modify the rental. In these situations, the Customer will receive a credit toward a future rental. No refunds are issued due to weather, and all rental items are treated equally under this policy.

Delivery

Delivery is available for rental orders totaling more than $100. Delivery is included at no charge within 5 miles of the Gold Party Rental warehouse. For deliveries beyond 5 miles, additional delivery fees apply starting at $20 plus $6 per mile. Delivery schedules are provided via email during the week of the event. Delivery typically occurs one to two days before the event, but specific delivery times are not guaranteed. Customers must provide clear and safe access to the delivery location, and failure to do so may result in delays or additional charges.

Setup & Cleanup

Setup and breakdown are included for tent rentals only. All other rental equipment does not include setup unless a setup service is selected and listed on the invoice. When setup service is not included, rental items will be delivered neatly stacked or placed in a single designated location and the customer is responsible for placement, setup, and breakdown. All rental equipment must be returned in its original condition and placed exactly where it was delivered, with all decorations, food, tape, and other obstructions removed prior to pickup. Failure to properly prepare equipment for pickup will result in a $50 labor fee.

Customer Pickup & Return

Customer pickup is available for all smaller rental items including tables, chairs, and smaller accessories. Large or high-value items such as tents, portable bars, photo booths, and staging are not available for customer pickup. Pickup instructions will be provided once the order is received, and orders are typically ready one to two days before the event. All rental equipment must be returned the day after the scheduled event. Late returns or failure to return equipment on time will result in a $50 late fee.

Damaged, Broken, or Lost Items

The Customer assumes full responsibility for all rental equipment from delivery or pickup until return. Any missing, stolen, damaged, or destroyed items beyond normal wear and tear will be charged at full replacement cost. Customers may choose to purchase an optional damage waiver equal to 5% of the total rental cost. This waiver covers accidental damage only and does not cover theft, intentional damage, misuse, or negligence.

Proper Use of Equipment

Rental equipment may not be sub-rented, loaned, moved, or removed from the delivery address without written permission from Gold Party Rental. Failure to return rental equipment is considered a serious violation of this agreement.

Liability & Responsibility

The Customer assumes all risks associated with the use and handling of rental equipment and agrees to hold Gold Party Rental LLC harmless from claims, injuries, damages, or losses arising from equipment use, misuse, weather conditions, or circumstances beyond the Company’s control.

Legal Terms

The rental agreement is governed by the laws of the State of Michigan. Any disputes related to this agreement will be resolved through binding arbitration conducted in Michigan. Our contract represents the full agreement between the Customer and Gold Party Rental LLC. No prior verbal or written agreements apply.
