Rental Policy & Contract Terms
Rental Rates
Your rental includes the equipment listed on your invoice. Rental pricing is based on how long the items are rented. Rentals under 24 hours are charged a base rate. Base rental rates cover single-day events, including our standard early delivery and post-event clean up time windows provided by Gold Party Rental LLC at our operational discretion. Rentals that exceed 24 hours are charged the base rate for the first day, plus an additional 25% of the base rate for each additional day. Once an order is placed and a deposit is received, pricing is final. Your responsibility for the rental equipment begins at delivery or pickup and ends once all items are returned and retrieved by our staff.
Reservations & Payments
All reservations are accepted on a first-come, first-served basis. A non-refundable deposit of 50% is required to reserve rental items and secure your event date. The remaining balance is due at delivery, and the credit card used to pay the deposit will be charged automatically unless other arrangements are made in advance. Cash payment is accepted at delivery, but drivers do not carry change. For customer pickup orders, the remaining balance is due when the order is prepared and ready for pickup. Tips are optional, always appreciated, and pooled directly among the delivery and cleanup crew.
Cancellations
All deposits are non-refundable. If an event is canceled more than 30 days prior to the scheduled event date, the deposit may be applied as a credit toward a future rental or rescheduled event, subject to availability and current pricing. Cancellations made within 30 days of the event date are not eligible for refunds or credits. Any reduction, removal, or modification of rental items made within 30 days of the event remains subject to the full original invoice amount.
Weather & Uncontrollable Events
Weather conditions are outside of the Company’s control, and specific weather outcomes are not guaranteed. If severe or unsafe weather prevents delivery, setup, or safe use of rental equipment, Gold Party Rental LLC reserves the right to cancel or modify the rental. In these situations, the Customer will receive a credit toward a future rental. No refunds are issued due to weather, and all rental items are treated equally under this policy.
Delivery Scheduling
Delivery is available for rental orders sub-totaling more than $150 and is charged at a rate of $6 per mile from the Gold Party Rental LLC warehouse. All delivery routing and scheduling is created at the sole discretion of Gold Party Rental LLC. Customers can reasonably expect their rentals to be scheduled for delivery one to two days prior to their event date. Estimated delivery day and time windows will be emailed the week of the event though exact times are not guaranteed and remain subject to traffic conditions, route adjustments, and weather delays. Requests for specific delivery times cannot and will not be accommodated.
Site Access & Instructions
The customer is responsible for providing clear, safe, and unobstructed access to the designated setup area upon arrival. The customer is not required to be on-site during delivery, provided safe access is granted and specific setup location instructions are communicated in advance. Blocked access, lack of prior setup instructions, or delivery delays resulting from an unreachable or unavailable customer will incur a mandatory $50 fee.
Setup & Breakdown
Setup and breakdown are included for tent rentals and add-ons (lighting, sides) only. All other rental equipment does not include setup unless the setup service is selected and listed on the invoice. When setup service is not included, rental items will be delivered neatly stacked or placed in a single designated location and the customer is responsible for placement, setup, and breakdown. All rental equipment must be returned in its original condition and placed exactly where it was delivered, with all decorations, food, tape, and other obstructions removed prior to pickup. Failure to properly prepare equipment for pickup will result in a $50 labor fee.
Tent Rental Requirements
Standard tent installations require a sufficiently flat, level surface and must meet the specific clearance dimensions outlined for each tent on our website. It is the Customer’s responsibility to ensure the area meets these dimensional and surface requirements prior to arrival; failure to provide an adequate, properly prepared space may result in cancellation of the tent setup without a refund. Tent installations on grass require underground staking. The Customer assumes full legal and financial responsibility for clearly marking all private underground utilities, sprinkler systems, septic tanks, and wiring. Gold Party Rental LLC is held harmless and not liable for any underground damage resulting from tent staking. Tents erected on hard surfaces (concrete, asphalt, or driveways) where staking is not feasible incur a mandatory $15 hard surface fee to cover weighted water ballasts. A water source must be made readily accessible on-site during setup.
Customer Pickup & Returns
Customer pickup is permitted on a limited, case-by-case basis for select smaller items—such as tables, chairs, and minor accessories—and requires explicit manual approval from a Gold Party Rental LLC staff member. Large or high-value items such as tents, portable bars, photo booths, and staging are not available for customer pickup. Pickup instructions, including warehouse access and loading details, are emailed the week of your event. Customers will receive an additional notification once the order is loaded and ready for pickup, which typically occurs one to two days before the scheduled event. All rental equipment must be returned the day after the scheduled event. Late returns or failure to return equipment on time will result in a $50 late fee.
Damaged, Broken, or Lost Items
The Customer assumes full responsibility for all rental equipment from delivery or pickup until return. Any missing, stolen, damaged, or destroyed items beyond standard wear and tear will be billed to the Customer at full replacement cost. An optional damage waiver is available for private rentals at a cost of 5% of the total rental equipment charge. This waiver covers accidental physical damage only; it strictly excludes coverage for theft, disappearance, intentional damage, misuse, neglect, or vandalism. The 5% damage waiver is mandatory for all public, community, corporate, municipal, and school events and will be automatically applied to the invoice.
Proper Use of Equipment
Rental equipment may not be sub-rented, loaned, moved, or removed from the delivery address without written permission from Gold Party Rental. Failure to return rental equipment is considered a serious violation of this agreement.
Liability & Responsibility
The Customer assumes all risks associated with the use and handling of rental equipment and agrees to hold Gold Party Rental LLC harmless from claims, injuries, damages, or losses arising from equipment use, misuse, weather conditions, or circumstances beyond the Company’s control.
Legal Terms
The rental agreement is governed by the laws of the State of Michigan. Any disputes related to this agreement will be resolved through binding arbitration conducted in Michigan. Our contract represents the full agreement between the Customer and Gold Party Rental LLC. No prior verbal or written agreements apply.
